We are committed to safeguarding the confidentiality, integrity, and availability of all personal data we hold, particularly data relating to the health, care, and well-being of our service users. This policy outlines how we manage and protect personal data in line with applicable UK legislation, including the General Data Protection Regulation (GDPR) and the Data Protection Act 2018.<\/p>\n\n<p class=\"wp-block-paragraph\">This Information Security Policy applies to all employees, contractors, and third parties who have access to personal data processed by Silomarg Ltd. It covers all data processing activities, whether carried out in our offices, remotely, or in clients\u2019 homes, and applies to electronic and physical data.<\/p>\n\n<p class=\"wp-block-paragraph\"><strong>This policy ensures compliance with the following legislation:<\/strong><\/p>\n\n<pre class=\"wp-block-code\"><code> UK General Data Protection Regulation (UK GDPR)\n Data Protection Act 2018\n Privacy and Electronic Communications Regulations (PECR)\n Care Quality Commission (CQC) Regulations<\/code><\/pre>\n\n<p class=\"wp-block-paragraph\"><strong>The objectives of this Information Security Policy are:<\/strong><\/p>\n\n<pre class=\"wp-block-code\"><code> To protect personal data from unauthorised access, loss, or damage.\n To ensure compliance with GDPR and Data Protection Act requirements.\n To provide employees and contractors with clear guidance on how to handle personal data securely.\n To reduce the risk of data breaches and other security incidents.<\/code><\/pre>\n\n<p class=\"wp-block-paragraph\">It is the overall responsibility of the Registered Manager, Leah Margolis to ensure that all Staff have read and signed (as understood) this policy for Silomarg Ltd, and that it is implemented consistently in daily practice. It is the overall responsibility of every staff member to follow this policy and procedure. Failure to do so may lead to disciplinary action.<br \/>A current copy of the policy will be available electronically and in the Office.<br \/>This policy will be reviewed at least annually, or more frequently if significant changes occur.<br \/>The person accountable for this Policy\/Procedure is Leah Margolis.<br \/>The Nominated Individual for Silomarg Ltd is Leah Margolis.<br \/>This Policy \/ Procedure was last updated on 20\/07\/2026.<br \/>This Policy \/ Procedure is due to be reviewed on 19\/07\/2027.<\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Policy\u00a0Responsibilities<\/strong><\/p>\n\n<pre class=\"wp-block-code\"><code>Data Protection Officer (DPO): The DPO is responsible for overseeing data protection strategy and implementation to ensure compliance with GDPR and other relevant regulations.\n Management: Silomarg Ltd\u2019s management team is responsible for ensuring that appropriate technical and organisational measures are in place to protect personal data.\n Employees: All employees must follow this policy and any related procedures to protect personal data.<\/code><\/pre>\n\n<p class=\"wp-block-paragraph\"><strong>Data Security Principles<\/strong><\/p>\n<p><strong><\/strong><\/p>\n<p class=\"wp-block-paragraph\"><strong>Silomarg Ltd adhere to the following key data protection principles outlined in Article 5 of the GDPR:<\/strong><\/p>\n\n<pre class=\"wp-block-code\"><code> Lawfulness, fairness, and transparency: Data must be processed lawfully, fairly, and in a transparent manner.\n Purpose limitation: Data must be collected for specified, explicit, and legitimate purposes.\n Data minimisation: Data must be adequate, relevant, and limited to what is necessary.\n Accuracy: Data must be accurate and kept up to date.\n Storage limitation: Data must be kept only for as long as necessary.\n Integrity and confidentiality: Data must be processed in a manner that ensures appropriate security, including protection against unauthorized or unlawful access.<\/code><\/pre>\n\n<p class=\"wp-block-paragraph\"><strong>Data Handling Procedures<\/strong><\/p>\n<p><strong><\/strong><\/p>\n<p class=\"wp-block-paragraph\"><strong>Data Collection<\/strong><\/p>\n\n<p class=\"wp-block-paragraph\">Personal data should be collected only for legitimate business or care-related purposes and with the explicit consent of the data subject, unless another lawful basis for processing applies (e.g., the provision of care services).<\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Data Access Control<\/strong><\/p>\n\n<p class=\"wp-block-paragraph\">Access to personal data will be restricted to authorised employees only and on a need-to-know basis.<br \/>Role-based access controls (RBAC) will be implemented to ensure that employees can only access the information necessary for their role.<br \/>Strong passwords and multi-factor authentication (MFA) will be required for accessing any sensitive data.<\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Data Storage<\/strong><\/p>\n\n<p class=\"wp-block-paragraph\">Personal data should be stored securely using encryption and password protection on all devices and storage media.<br \/>Physical files should be locked in secure storage when not in use, and access should be restricted to authorised personnel.<\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Data Sharing<\/strong><\/p>\n\n<p class=\"wp-block-paragraph\">Personal data will only be shared with third parties where a lawful basis exists (e.g., with healthcare providers) and where a data sharing agreement is in place.<br \/>When sharing data electronically, encryption or secure file transfer methods (e.g., NHS secure email) must be used.<\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Data Retention<\/strong><\/p>\n\n<p class=\"wp-block-paragraph\">Personal data will be retained for no longer than is necessary, in line with legal and regulatory obligations.
